Privacy Policy

Dhanvine Services ("we", "us", "our") operates Edqnic, a school management platform accessible at edqnic.com. This Privacy Policy explains how we collect, use, disclose and safeguard your information when you use our platform.

1. Information We Collect

  • Account Information: School name, administrator name, email address, phone number, and school address provided during registration.
  • Student & Staff Data: Names, roll numbers, class details, attendance records, and fee information entered by school administrators.
  • Payment Information: Fee transaction details processed via our payment partners (Razorpay). We do not store raw card or bank credentials.
  • Usage Data: Pages visited, features used, timestamps, device type, and browser information collected automatically for service improvement.
  • Communications: Messages sent through the platform between parents, teachers, and administrators.

2. How We Use Your Information

  • To provide, operate, and maintain the Edqnic platform.
  • To process fee payments and generate invoices and receipts.
  • To send SMS and WhatsApp notifications as configured by the school.
  • To respond to support queries and improve our service.
  • To comply with legal obligations and prevent fraud.

3. Data Isolation & Security

Each school's data is completely isolated using school-specific identifiers. No school can access another school's data. We use industry-standard HTTPS encryption, regular database backups, and access controls to protect your data.

4. Data Sharing

We do not sell, rent, or trade your personal data. We may share data with:

  • Payment Gateways: Razorpay for processing fee transactions.
  • SMS/WhatsApp Providers: For delivering notifications on your behalf.
  • Legal Authorities: When required by law or to protect legal rights.

5. Cookies

We use session cookies to keep you logged in and localStorage for UI preferences. We do not use third-party advertising cookies. You may disable cookies in your browser settings, though this may affect platform functionality.

6. Data Retention

We retain your school data for the duration of your subscription and for 90 days after account termination, after which it is permanently deleted. You may request earlier deletion by contacting us.

7. Your Rights

  • Request access to or correction of your personal data.
  • Request deletion of your account and associated data.
  • Opt out of promotional communications at any time.

Website Policy

This Website Policy governs your use of the Edqnic website and platform at edqnic.com and all associated subdomains operated by Dhanvine Services.

1. Acceptable Use

You agree to use this website only for lawful purposes and in a way that does not infringe the rights of others. You must not:

  • Use the platform to transmit spam, malicious code, or unsolicited communications.
  • Attempt to gain unauthorized access to any part of the platform or servers.
  • Use automated scraping tools, bots, or crawlers to extract data without written consent.
  • Impersonate another person, school, or organisation on the platform.
  • Upload or transmit content that is defamatory, obscene, or violates any applicable law.

2. Intellectual Property

All content on this website including text, graphics, logos, icons, software, and design is the property of Dhanvine Services and is protected by applicable copyright and trademark laws. You may not reproduce, distribute, or create derivative works without our explicit written permission.

3. School-Generated Content

Schools using Edqnic to build their own websites retain ownership of the content they create and publish. Dhanvine Services is not responsible for the content published on individual school websites powered by Edqnic. Schools are solely responsible for ensuring their content complies with all applicable laws.

4. Third-Party Links

Our platform may contain links to third-party websites. We are not responsible for the content, privacy practices, or accuracy of any third-party sites. Visiting such links is at your own risk.

5. Disclaimers

The platform is provided "as is" without warranty of any kind. While we strive for high availability, we do not guarantee uninterrupted access. We are not liable for any loss arising from temporary unavailability of the service.

6. Changes to This Policy

We may update this Website Policy from time to time. Continued use of the platform after changes constitutes acceptance of the updated policy. We will notify users of significant changes via email.

Terms & Conditions

These Terms & Conditions ("Terms") govern your subscription to and use of Edqnic services provided by Dhanvine Services. By accessing or using our platform, you agree to be bound by these Terms.

1. Eligibility

You must be at least 18 years of age and legally authorised to represent the school or educational institution on whose behalf you register. By registering, you confirm you have the authority to bind the institution to these Terms.

2. Subscription & Account

  • One subscription covers one school or educational institution.
  • You are responsible for maintaining the confidentiality of your login credentials.
  • You must notify us immediately of any unauthorized access to your account.
  • We reserve the right to suspend accounts that violate these Terms.

3. Service Plans & Billing

  • Plans are available on monthly and annual billing cycles.
  • Subscription fees are charged in advance at the start of each billing period.
  • Annual subscriptions receive a discount and are billed as a single upfront payment.
  • We reserve the right to modify pricing with 30 days' notice. Existing subscribers are protected until their current billing period ends.

4. Permitted Use

Edqnic is licensed for use by registered schools and educational institutions for internal school management purposes only. You may not resell, sublicense, or white-label the platform without explicit written consent from Dhanvine Services.

5. Data Ownership

You retain full ownership of all student, staff, and institutional data entered into the platform. Dhanvine Services acts as a data processor on your behalf. Upon termination, your data will be made available for export for 30 days before permanent deletion.

6. Uptime & Support

We target 99.5% monthly uptime for the platform. Scheduled maintenance windows will be communicated in advance. Support is available via email and WhatsApp during business hours (Monday–Saturday, 9 AM–7 PM IST).

7. Limitation of Liability

To the maximum extent permitted by law, Dhanvine Services shall not be liable for any indirect, incidental, or consequential damages arising from your use of the platform. Our total liability in any case shall not exceed the subscription fees paid by you in the preceding three months.

8. Governing Law

These Terms are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts in New Delhi, India.

Cancellation & Refund Policy

Effective date: March 2025

At Edqnic, we want you to be completely satisfied with our service. This policy outlines the conditions under which cancellations and refunds are processed.

30-Day Money-Back Guarantee

If you are not satisfied within the first 30 days of your subscription, contact us for a full refund — no questions asked.

1. Cancellation

  • You may cancel your subscription at any time from your account settings or by emailing us.
  • Cancellation takes effect at the end of your current billing period. You will retain full access until then.
  • We do not offer pro-rated refunds for unused days in a billing period unless covered by the 30-day guarantee below.

2. 30-Day Money-Back Guarantee

New subscribers are eligible for a full refund if they cancel within 30 days of their first payment. To claim:

  • Email support@edqnic.com within 30 days of your initial payment.
  • Include your registered school name and reason for cancellation.
  • Refunds are processed within 5–7 working days to the original payment method.

The 30-day guarantee applies to first-time subscribers only and cannot be claimed more than once per school.

3. Annual Subscriptions

Annual subscriptions are eligible for a full refund within 30 days as above. After 30 days, annual subscriptions are non-refundable. However, you may request a credit note for the remaining months, which can be applied to a future subscription.

4. Non-Refundable Items

  • SMS and WhatsApp credits purchased as add-ons are non-refundable once consumed.
  • Custom domain configuration fees (if applicable) are non-refundable.
  • Accounts terminated for violation of our Terms are not eligible for refunds.

5. Refund Processing

Approved refunds are processed within 5–7 working days to the original payment method (credit/debit card or UPI). Bank processing times may vary. For refund status enquiries, contact support@edqnic.com.

Shipping Policy

Effective date: March 2025

Edqnic is a 100% digital, software-as-a-service (SaaS) platform. There are no physical products to ship. This policy describes how your access and digital deliverables are provisioned.

1. Digital Service Delivery

Upon successful payment, your Edqnic account is activated instantly. You will receive:

  • A confirmation email with your login credentials and onboarding guide.
  • Access to your school management dashboard immediately.
  • Your school subdomain (e.g., yourschool.edqnic.com) provisioned within 15 minutes.

2. Custom Domain Setup

If you are on the Enterprise plan and have requested a custom domain (e.g., yourschool.in), our technical team will complete the domain configuration within 1–2 business days after you provide the required DNS records. We will guide you through this process.

3. Onboarding Assistance

Our onboarding team will reach out within 24 hours of your registration to schedule a free setup session. During onboarding, we help you:

  • Import your student list and class structure.
  • Configure fee structures and payment settings.
  • Set up your school website and WhatsApp notifications.

4. Service Availability

The Edqnic platform is available 24/7 globally. We target 99.5% monthly uptime. Any planned maintenance will be communicated via email and in-app notification at least 48 hours in advance, and is typically scheduled outside school hours.

5. Data Export

You can export your school data (students, attendance, fee records) at any time from your dashboard in CSV and PDF formats. No additional charges apply for data exports. Upon account termination, export functionality remains available for 30 days.
